Best dental practice software in the UK

The four systems most UK dental practices run are Dentally, Carestream R4, Software of Excellence (EXACT) and, for lead management, Dengro. They are not alternatives to each other in the way vendor marketing suggests, and the right question is usually which combination rather than which one.

  • Four systems compared on what actually differs
  • Cloud versus server, and why it matters more than features
  • How each connects to a practice website

The first decision

The real division is cloud versus server

Feature lists across dental practice management software look broadly similar. The meaningful difference is where the software runs.

Dentally is cloud-native. Nothing to install, accessible from anywhere, updates happen without you. That suits multi-site groups, practices with associates working across locations, and anyone who does not want a server in a cupboard.

Carestream R4 and Software of Excellence (EXACT) are long-established server-based systems with cloud options. Deeply embedded in UK dentistry, extremely capable, and generally chosen by practices that already run them and see no reason to change.

Migration between them is a genuine project, not an afternoon. That is the main reason practices stay where they are.

Lead management

Dengro is a different category

Dengro is not a practice management system and does not compete with the other three. It handles enquiries before they become bookings: capture, follow-up, conversion reporting.

Practices frequently confuse the two categories and end up either running enquiries out of a PMS that was not designed for it, or expecting Dengro to manage clinical records. Neither works.

The clean split is: Dengro until the booking, practice management from the booking onwards.

The criteria

What actually matters when choosing

Does it work from home. If your practice manager needs to do the rota on a Sunday, a server-based system without remote access is a daily irritation.

How it handles multiple sites. If you might add a second location, ask now rather than later. Retrofitting multi-site is painful.

What it costs to leave. Ask how you get your data out and in what format. The answer tells you a lot about the vendor.

How it connects to your website. Almost nobody asks this and it determines whether your marketing spend converts.

Integration

How each connects to a website

Dengro is the most straightforward: enquiry forms post directly into the pipeline with treatment interest attached.

Dentally being cloud-native has the cleanest route for appointment requests and enquiry capture.

R4 and SOE are generally integrated through the lead layer rather than by writing directly into the system, which is the safer approach where clinical records are involved.

We build all four into Practice and Group sites as standard.

Our view

What we would tell a practice choosing today

If you are starting from nothing, Dentally plus Dengro is the combination we see working most reliably, particularly for practices that expect to grow or add a site.

If you already run R4 or SOE and they work, do not change. The disruption of migration rarely justifies the feature difference, and the money is better spent on the website that feeds them.

Whatever you run, the highest-return change for most practices is not the software. It is connecting the website to it properly.

FAQs

Common questions

Which dental practice software is best in the UK?

There is no single best. Dentally suits practices wanting cloud access and multi-site flexibility. Carestream R4 and Software of Excellence suit established practices already running them. Dengro handles lead management and sits alongside any of them rather than replacing them.

Is Dentally better than Software of Excellence?

Different rather than better. Dentally is cloud-native, which matters if you need remote access or run more than one site. SOE is deeply established with very mature functionality. If SOE works for you, the disruption of migrating rarely pays.

What is Dengro and do we need it?

Dengro is dental lead management: it captures enquiries, tracks follow-up and reports conversion. You need something in that role once more than one person handles enquiries. Below that, a well-run shared mailbox can do the job.

Can our website connect to Carestream R4?

Yes, generally through the lead layer rather than by writing directly into clinical records, which is the safer approach. We build this into Practice and Group sites.

How much does dental practice software cost?

Pricing is almost always per user or per site and quoted on request, which makes direct comparison awkward. Ask each vendor for the total annual cost at your headcount, including support and any per-site charges.

What should we ask before switching systems?

How you export your data and in what format, what the migration actually involves, whether it supports multiple sites, and how it connects to a website. The last one is almost never asked and matters most for growth.
