Dengro: what it does and how to connect it to your website

Dengro is a dental lead management system used widely across UK practices to capture, track and follow up patient enquiries. What Dengro is for

Dental practices lose enquiries in the gap between a patient making contact and someone following it up. A form emails an address. The person who monitors it is on holiday. Four days pass. The patient books elsewhere.

Dengro exists to close that gap. Every enquiry, from whatever source, lands in one pipeline with a status, an owner and follow-up prompts. Nothing sits unread because nothing arrives in a personal inbox.

It also gives you the number most practices cannot answer: how many enquiries did we get last month and how many became appointments. Without that you cannot tell whether your marketing works.

Integration

The mistake almost everyone makes

Installing Dengro and leaving the website form emailing reception is the most common configuration we find, and it defeats the point entirely.

The enquiry needs to flow from the website into Dengro automatically, with the treatment interest and source attached. If a patient enquired from your implants page, that should be visible to whoever follows up, because the opening line of that call is different from a general enquiry.

The second common error is capturing too little. Name and email is not enough. Treatment interest, which page they came from and what they clicked before enquiring all change the follow-up conversation.

What to connect

Your main enquiry form, obviously. But also treatment-specific forms, because a form on the Invisalign page that tags the enquiry as Invisalign is worth more than a generic one.

Call tracking if you use it, so phone enquiries appear in the same pipeline as web ones. Otherwise you are measuring half your leads.

What not to connect: patient records. Lead management and clinical records are different systems with different obligations under UK GDPR, and pushing data between them without a proper basis creates risk you do not need.

Dengro is a lead system, not a practice management system. It sits in front of Dentally, Carestream R4 or Software of Excellence rather than replacing them.

The clean architecture is: website captures, Dengro manages the enquiry until it becomes a booking, practice management takes over from the booking onwards. Practices that try to run enquiries out of their PMS generally end up with neither working well.

The honest answer

Is it worth it

If you take more than a handful of enquiries a month and more than one person handles them, yes. The return is not the software, it is the enquiries that currently die in an inbox.

If you are a single-surgery practice where the same person answers every enquiry within an hour, you may not need it. A well-configured shared mailbox and a spreadsheet will do the job.

Either way, the website side matters more than the software side. A perfect lead system fed by a broken form is worth nothing.

Should Dengro connect to patient records?

No. Lead management and clinical records have different obligations under UK GDPR and there is rarely a good reason to push data between them automatically. Keep the boundary.

Do we need Dengro to have a good website?

No, but you need something. The point is that enquiries should not land in a personal inbox. A shared mailbox with a defined process works for a small practice; Dengro works better once volume or headcount grows.
